How ZENTRA Cloud Subscriptions Work
ZENTRA Cloud subscriptions are bought per device, renew on one shared date each year, and are paid from prepaid balance before any card on file.

Subscriptions are by device, can renew together annually, and can be paid from a prepaid balance or a card.
Subscription management is coming to ZENTRA Cloud 2.0 in Sep 2026!
What a subscription covers
A subscription covers one device. While it's covered, the readings it's collecting are visible to you and its alerts run.
A device that isn't covered keeps working exactly as before — it takes readings on schedule, uploads them, and keeps its name, folder, and configuration. Everything it has collected up to that point stays visible; only the readings it takes from then on are held back, and they appear as soon as the device is covered again. Alerts stop, and an alert that would have fired isn't sent later.
When you're charged
Your organization has a single annual renewal date, set a year on from your first subscription. Everything renews on that date, on one invoice. You'll find it on the Billing page under Annual Renewal.
Each device also has its own date — the date it's paid through — shown on the Devices page.
Usually the two line up. Sometimes a device ends up on a date of its own, most often because it joined outside a normal purchase: transferred in from another organization, already paid for when you subscribed it, or extended using your balance. The Billing page lists these devices separately, under Next Invoice.
More than one date is normal. When a device comes due ahead of your annual renewal date, it's charged a prorated amount — just enough to reach your renewal date, and from then on it renews with everything else. A device paid past your renewal date sits that one out, since there's nothing to charge it for, and joins in the following year if it is set to renew.
Understanding Your Charges and Invoices
Turning off renewals
Subscribing a device sets it to renew each year. Unsubscribe turns that off.
Unsubscribing doesn't end coverage you've already paid for, and it doesn't refund it. The device stays covered until its date. Re-subscribe before then and there's no charge — it's still paid for.
If a renewal payment fails, the device stops being set to renew, so it won't keep retrying.

Paying with your balance
Your organization can hold prepaid credit, shown as Available Balance. You top it up from Add Usage, which has two tabs: Redeem, for a Subscription Code, and Buy, to purchase usage with a card.
Charges come out of your balance first: "Subscriptions will be charged first to your Available Balance, then any remaining charge will go to your Default payment method."
You don't need a card on file. A card only matters when a charge is larger than your balance. If you pay with a Subscription Code or prepaid usage, you may never need to add one.
If a renewal comes due and there's no balance and no working payment method, nothing is charged and nothing renews. Devices return to the cart, and auto-renewal is disabled.
Sales tax is only collected on orders with a US Shipping Address. Everywhere else there's no tax to add.
Where tax does apply, costs covered by your balance don't incur it — you already paid tax when you bought the credit. If your balance doesn't cover the invoice total, the remainder is charged to your card (if one is on file), and tax is charged on that remainder.
You can also use Apply To Existing Subscriptions to spend your balance pushing devices' dates further out, rather than leaving the credit unused.

When a device becomes covered
Choosing a plan puts the device in your cart. Checkout creates an invoice. The device becomes covered once that invoice is paid — not when you select Checkout.
If a card is declined, the invoice stays open and the device stays in your cart. Nothing is lost, and you can pay again from the cart when you're ready.

Good to know
- Everything is priced in US dollars. There's no local-currency option.
- Subscriptions normally run for a year, unless you're adding a device mid-cycle or extending an existing device plan.
- Your organization gets one 14-day free trial. Subscribing your very first device to a plan will start the trial for the organization. Start your 14-day free trial
- Alerts don't catch up. A device without coverage doesn't trigger alerts, and an alert that would have fired isn't sent later once it's covered again. Data can be caught up on; a notification you needed at the time can't be.
- Changing anything about billing needs the Editor role or higher. Viewers can see pricing and invoices but can't change them.
- Devices are subscribed from the Devices page, not the Billing page. Billing is where you set up billing details, hold balance, manage payment methods, and see invoices. Subscription Plans and Features
