Set Up Billing for Your Organization

Add your organization's email and mailing address so you can subscribe loggers, start a trial, or add credit — then add a card if you want renewals charged automatically.

Before your organization can subscribe loggers, start a trial, or add credit, it needs billing information on file. That means an email address and a mailing address — no card required. You can add a card later, or not at all.

You'll need the Editor role or higher.

What you can do once it's set up

Until your organization has billing information, the Billing page shows a Setup Required card listing what's waiting on it:

• Subscribe devices
• Begin a Trial Period
• Add Usage
• Apply prepaid subscription code

Set up billing

1. Go to Setup, then Billing.
2. Select Set Up Billing.
3. Check the Email address. It's filled in with your own — change it if billing correspondence should go elsewhere.
4. Under Shipping Address, confirm the Organization name and choose your Country or region, then start typing in Address. Pick your address from the suggestions, or choose Enter address manually to fill in the fields yourself.
5. Under Billing Address, tick Billing is same as shipping information if they match — the rest of the fields disappear. If they don't match, fill them in the same way.
6. Select Update.

Your details then appear under Billing Information on the Billing page.

Why the shipping address matters

Shipping Address is marked "(For calculating taxes)", and that's what it's used for. Sales tax is only collected on orders with a US shipping address — everywhere else there's no tax to add.

Change your details later

Select Update Information under Billing Information and edit the same fields.

How charges are taken

Credit comes first. As the Default marker explains:

"Subscriptions will be charged first to your Available Balance, then any remaining charge will go to your Default payment method."

So a saved card is a backstop rather than the primary method. If your Available Balance covers a charge in full, your card isn't touched.

Add Prepaid Usage to Your Balance

Add a card

1. Go to Setup, then Billing.
2. Under Payment Method, select Add Payment Method.
3. Fill in Card Details — card number, expiry, and security code.
4. Fill in the Billing Address for the card, including an Email.
5. Tick Make this the default payment method. if this is the card you want charged.
6. Select Add.

The Billing Address here belongs to the card, and is used to verify it with your bank. It's separate from your organization's billing and shipping addresses, and changing it doesn't affect how tax is worked out.

Choose which card is charged

Only the card marked Default is used. Any others sit unused until you promote one.

1. Select the ⋮ beside the card you want to start using.
2. Select Make Default.
3. At Set Default Payment Method, check the card named is the right one, then select Make Default.

You'll see "Successfully set the default payment method." and the Default marker moves.

Remove a card

For the card currently marked Default, select the ✕ beside it. For any other card, select the ⋮ and choose Delete.

Either way, Delete Payment Method asks you to confirm. Check the card named, then select Yes, Delete. You'll see "Payment method successfully deleted."

If you have more than one card ending in the same four digits, check the expiry date on the card row before you confirm — the confirmation identifies the card by its last four digits only.

If that was your only card, nothing renews until you add another or hold enough credit. A Set Up Billing notice appears in the sidebar when loggers are set to renew and there's nothing to pay with, so you won't be left guessing.

Do you need a card at all?

No. You can keep an organization running entirely on prepaid credit:

• Redeem a Subscription Code
• Buy prepaid usage with Add Usage

The trade-off is that credit has to be topped up before each renewal, whereas a saved card renews without anyone remembering to act.
